You've booked your venue, secured your vendors, made your design decisions, and spent months bringing your wedding vision together. Now you're approaching the final stretch and realizing you probably don't want to be the person answering vendor questions, managing timelines, and making sure everything happens on schedule.
That's where professional wedding coordination comes in.
But when researching wedding planning services, you'll likely encounter several terms: day-of coordination, month-of coordination, wedding management, and full-service planning. While they may sound interchangeable, they can represent very different levels of involvement.
At At Ease Events KC, we offer two distinct services for couples who have handled most of their own planning: Wedding Coordination and Wedding Management.
Both provide professional oversight and wedding-day execution. The difference comes down to when your coordinator steps in, how involved they become in your remaining planning, and the level of support you need before your wedding day.
If you're planning a wedding in Kansas City or the surrounding metropolitan area, here's how to determine which service is right for you.
What Is Wedding Coordination?
Wedding Coordination is designed for couples who have completed the majority of their planning and need an experienced professional to take over the logistics and execution of their existing plans.
You've hired your vendors, selected your décor, established your budget, and made the important decisions. Now you need someone to bring all those moving pieces together.
At At Ease Events KC, our Wedding Coordination service begins six weeks before your wedding.
During this transition, we take over vendor communications, review your existing plans, gather contracted service details, develop your custom wedding-day timeline, and organize the logistics necessary to execute your celebration.
Our focus is on ensuring your vendors understand their responsibilities, your timeline is organized, and everyone is working from the same plan.
What's Included in Wedding Coordination? Our Coordination service includes:
Planning transition beginning six weeks before your wedding
Vendor communications and final confirmations
Review of existing plans and contracted vendor services
Custom wedding-day timeline development
Floor plan and logistics management
Rehearsal coordination
Wedding-day vendor oversight and timeline management
Light assistance with select personal décor details
What Does Wedding Coordination Not Include? An important distinction is that Wedding Coordination does not replace the professional services you've contracted with your vendors.
Couples remain responsible for hiring vendors to fully perform their contracted services, including professional décor installation, rental setup, floral placement, tablescape installation, and extensive setup or breakdown labor.
Our team provides light décor assistance with select personal details, such as memory tables, cake tables, guest books, and card boxes. We do not provide comprehensive décor installation or replace professional setup crews.
Our wedding-day coverage typically begins approximately one hour before hair and makeup is scheduled to be complete. If hair and makeup are taking place off-site, our team will be the first vendor on-site.
Coverage continues through the reception and concludes once the dance floor opens. Late-night coverage, the final send-off, and end-of-night breakdown or cleanup are not included.
Who Is Wedding Coordination Best For?Wedding Coordination is ideal for couples who:
Have already booked their vendors.
Have finalized their wedding design and décor decisions.
Feel confident in their budget and contracted services.
Have organized the majority of their planning.
Need help managing vendor communication and logistics.
Want to enjoy their wedding without personally directing the day.
If you've done the planning and simply need an experienced team to take over execution, Coordination may be exactly what you need.

What Is Wedding Management?
Wedding Management is a more comprehensive coordination experience for couples who have handled most of their planning but want professional guidance and oversight during the final three months.
The biggest difference? We step in early enough to help review and refine your plans before everything is finalized.
At At Ease Events KC, Wedding Management begins three months before your wedding.
Rather than waiting until the final six weeks to organize an existing plan, we have additional time to review vendor proposals, contracted services, quantities, pricing, layouts, and remaining planning details.
This allows us to identify potential discrepancies, overlooked responsibilities, or logistical concerns while there's still time to address them.
Think about everything happening during the final months before your wedding:
Final vendor payments are approaching.
Rental quantities and layouts need approval.
Vendor meetings and walkthroughs are being scheduled.
Floor plans are being finalized.
Final guest counts are coming together.
Vendors need confirmation of their responsibilities.
The last details are becoming financial and logistical commitments.
Having an experienced professional involved before these deadlines can make a meaningful difference.
What's Included in Wedding Management? Our Wedding Management service includes:
Planning transition beginning three months before your wedding
Review of vendor proposals and contracted services
Review of quantities, pricing, and outstanding details
Vendor communication and management
Final vendor confirmations and walkthroughs
Custom wedding-day timeline development
Floor plan and logistics management
Hands-on décor setup and day-of styling assistance
Rehearsal coordination
Full wedding-day management and vendor oversight
Why Does the Three-Month Start Date Matter? The additional six weeks aren't simply more time with your coordinator. They provide an opportunity for professional oversight before final planning decisions and financial commitments are locked in.
For example, we can review your rental proposal against your floor plan, compare contracted vendor services with your expectations, review quantities before final approvals, and help identify missing logistical details before wedding week.
Our role is to review, question, organize, and help refine the plans you've already created. We don't replace your vendors' contractual responsibilities or guarantee their pricing or performance, but we provide another experienced set of eyes throughout the final planning process.
Who Is Wedding Management Best For?Wedding Management is ideal for couples who:
Have completed most of their planning but want professional guidance.
Want an experienced professional to review vendor proposals and contracted services.
Would benefit from reviewing quantities, pricing, and logistics before final payments.
Want additional oversight of their remaining planning decisions.
Need more hands-on styling and décor assistance.
Prefer having their lead coordinator involved earlier.
Want a more comprehensive level of support during the final three months.
If you've done most of the planning but want professional eyes on the details before everything is finalized, Management may be the better fit.

Both services bring professional support to your wedding day. The difference is when we step in and how much support you need before the celebration.
